Rentclic ("we", "us", or "our") operates the SaaS platform available at rentclic.com. This Privacy Policy explains how we collect, use, store, and protect information about you when you use our service. By creating an account or using Rentclic, you agree to the practices described in this policy.

1. Data We Collect

We collect only the information necessary to provide and improve the Rentclic platform. This includes:

  • Account information: your name, email address, company name, phone number, and billing address provided at registration.
  • Usage data: pages visited, features used, session duration, browser type, IP address, and device identifiers collected automatically via cookies and server logs.
  • Vehicle and fleet data: information you enter about your vehicles (make, model, registration, mileage, insurance) stored to power the platform features.
  • Reservation data: customer names, contact details, rental dates, and payment references entered by your agency through the platform.
  • Payment data: subscription billing details processed by our payment providers. We do not store full card numbers on our servers.

2. How We Use Your Data

  • To create and manage your account and provide access to the platform.
  • To process your subscription payments and send invoices and billing notifications.
  • To respond to support requests and troubleshoot technical issues.
  • To send product updates, feature announcements, and security alerts (you may opt out of marketing communications at any time).
  • To analyze aggregated, anonymized usage patterns to improve the platform's performance and features.
  • To comply with applicable legal obligations.

3. Data Storage and Security

Your data is stored on servers located in the European Union. We use the following infrastructure providers:

  • Neon (PostgreSQL): primary database, hosted in EU regions, with encryption at rest and in transit.
  • Vercel: application hosting and edge functions, deployed to EU regions where available.

We implement industry-standard security measures including TLS encryption for all data in transit, hashed passwords, role-based access controls, and regular security reviews. No method of transmission over the internet is 100% secure, but we take all reasonable steps to protect your information.

4. Third-Party Services

We share data with trusted third parties only to the extent necessary to operate the service:

  • Stripe / LemonSqueezy: payment processing. Your card and billing details are handled directly by these PCI-DSS compliant providers. We receive only a payment reference and subscription status.
  • Email providers (e.g. Resend, SendGrid): used to deliver transactional emails such as account confirmations, password resets, and invoices.
  • Error monitoring (e.g. Sentry): anonymized error traces to detect and fix bugs. Sensitive personal data is scrubbed before transmission.

We do not sell, rent, or trade your personal data to any third party for marketing purposes.

5. Cookies

Rentclic uses essential cookies to maintain your authenticated session and remember your preferences. We may also use analytics cookies to understand how the platform is used in aggregate. You can disable non-essential cookies in your browser settings, though this may affect certain features of the platform.

6. Your Rights (GDPR)

If you are located in the European Economic Area, you have the following rights regarding your personal data:

  • Right of access: request a copy of the personal data we hold about you.
  • Right to rectification: ask us to correct inaccurate or incomplete data.
  • Right to erasure: request deletion of your account and associated personal data, subject to legal retention requirements.
  • Right to data portability: receive your data in a structured, machine-readable format (e.g. JSON or CSV export).
  • Right to object: object to processing based on legitimate interests, including direct marketing.

7. Data Retention

We retain your account data for as long as your subscription is active. Upon account deletion, we remove personal data within 30 days, except where retention is required by law (e.g. financial records kept for 7 years under French accounting law). Aggregated, anonymized analytics data may be retained indefinitely.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or via an in-app notice at least 14 days before the changes take effect. Your continued use of the platform after that date constitutes acceptance of the updated policy.
